Registration Policies, Planning, & Agreement Information

Please review the following policies prior to registering at the bottom of this page. 

Overview

Payment is accepted via credit card or check. If paying by credit card, payment is due with the online registration form. If you prefer to pay by check, click to pay by invoice and mail in a check.

Checks must be payable to “Higher Education Protection Network.” You will be emailed a receipt and a confirmation. An email address is required to receive a receipt/confirmation of registration. If you do not receive an email, please contact us at [email protected].

HEPNet celebrates equity, diversity, and inclusion

HEPNet strives to offer every attendee a welcoming and inclusive conference experience. To help us make sure that we make your experience as enjoyable and comfortable as possible, please contact HEPNet executive director, Lindsay Bond if you think you might require accommodation beyond what you have commonly found available at past conferences. If you don’t have past conference experience to reference, give us a call anyway—when in doubt, please reach out.

Refund policy for conference registration cancellations

Refunds will not be issued for virtual conference registrations. Recordings will be available after the event. All in-person conference cancellations and refund requests must be made in writing and mailed or emailed to:

Refund requests are processed according to the following time restrictions:

  • Refund requests received on or before July 8, 2026 will receive a full refund, minus a $50 processing fee. 
  • Refund requests received on or between July 9 and September 30, 2026 will receive a 50% refund, minus a $100 processing fee. 
  • Refunds cannot be guaranteed for requests received on or after September 30, 2026, or for no-shows at the conference. 
  • If a member is transferring to a non-member, the current non-member rate will apply.
  • There will be a $30 processing fee for any transfers.
  • Extenuating circumstances may warrant exceptions to the refund policy.


Media content ownership

HEPNet may use video, photos, and audio taken during this event to promote the Network and future events. Your registration form provides HEPNet with the unrestricted right to use media at its discretion for the purpose outlined above.

The recommended dress is business casual during all workshops and presentations.

HEPNet has arranged a room block at the Omni Temple Hotel at ASU
 - valid until October 1, 2026.  

Rates: $239/night + tax, waived amenity fee

Transportation

The main airport in Arizona is the Phoenix Sky Harbor International Airpot (PHX)

By Car (Fastest - ~10-15 minutes, 5-6 miles)

  1. Exit the airport onto Sky Harbor Blvd (eastbound)
  2. Merge onto Loop 202 East (toward Tempe)
  3. Take Exit 273 for NC-54 W toward Chapel Hill.
  4. Take Exit 7 – Rural Rd
  5. Turn right (south) onto Rural Rd
  6. Turn right onto University Dr → this brings you into ASU

By Public Transit/Light Rail (35-45 minutes), Cost $2.00

  1. Take the free PHX Sky Train from your terminal to 44th St/Washington station
  2. Board the Valley Metro Light Rail (eastbound toward Mesa)
  3. Get off at one of these stops:
    • Veterans Way/College Ave (right on campus) or University Dr/Rural Rd (edge of campus)

By Rideshare/Taxi (~10-15 minutes)

  • Uber/Lyft and taxis are available at PHX.
  • Expect to pay around $20-$35 depending on traffic.
